No more manually filling out contracts. Autenti Interactive Forms

The Autenti platform is expanding its offerings to include Interactive Forms. This new feature allows you to import a ready-made document template, efficiently collect the necessary data—including from employees, candidates, contractors, or customers providing technical information—populate the document with that data, and then seamlessly proceed to signing the document. All of this takes place in a single, seamless process, which automates a step that previously required manually entering data received through other channels, such as email.

The Hassle of Transcribing Data

In many organizations, the process of collecting data from a customer or employee and the actual signing of the document are two completely separate, unrelated stages. In the standard model, the workflow looks like this:

  • The base content is created in an external word processor.
  • The document is manually filled in with data (often based on emails or personal questionnaires).
  • The finished file is uploaded to the platform and sent for e-signature.

This workflow creates specific problems: constantly switching between tools, manually repeating the same steps for each new client, and the lack of a single, consistent workflow.

The main change: forms streamline the information-gathering stage

Autenti eSign Forms step in at exactly this point in the process. They aren’t designed to create content from scratch, but to instantly collect the data that needs to be included in the final document. This new feature works best when:

When Should You Use Interactive Forms?

  • When you need information to prepare a document but don’t yet have all the details—such as dimensions, material, and roof pitch in the solar industry; meal or extracurricular activity selections in education; or data for the Employee Pension Plan (PPK) and HR documents.
  • When a document is based on a fixed template, but its content depends on data provided by another party—an employee, candidate, customer, contractor, partner, or guardian.
  • When you want to eliminate the need to manually transcribe information from emails, forms, spreadsheets, or messages into documents.

From working in multiple programs to a single workflow in Autenti

Currently, a digital signature is often treated merely as the “final step” in a long administrative process. The actual collection of information and “typing” it into the appropriate sections of a contract takes place outside the platform.

Interactive Forms bring this tedious step into a single, secure environment. The benefit is immediate: the team uses fewer tools, eliminates manual data copying, and the entire process becomes much more consistent and error-resistant (e.g., thanks to field validation).

The Greatest Value for Template-Based Documents

Interactive Forms are designed with operational processes in mind. The ideal document for this feature is one that has a fixed structure, requires only specific fields to be filled out (e.g., tax ID, amount, date, selecting an option from a list), and is used on a large scale.

Example use cases:

  • Onboarding and HR questionnaires.
  • Order forms (e.g., in the solar energy industry or B2B).
  • Consents and declarations.
  • Employee requests.
  • Standard administrative documents.

Key benefits for organizations:

  • Reduced need for manual data entry into external files.
  • Significantly greater standardization of collected information.
  • Instant forwarding of documents for signature.
  • No need to repeatedly save, export, and transfer files between programs.
  • Delegating data entry to the signer.

"We’ve noticed that companies want to incorporate not only the e-signature itself but also the preceding stage of data collection and form completion into a single, seamless process. The greatest value of our new service is realized with recurring documents. Interactive Forms drastically simplify the workflow and shorten the path from obtaining information from the client to the final signing of the contract." Kinga Biernacka, Product Manager, Autenti

What Interactive Forms (eSign Forms) ARE NOT

Interactive forms work best for data collection and signature standardization. However, they are not a tool for:

  • Creating complex contracts from scratch.
  • Collaborative editing of content by multiple people in real time.
  • Negotiating clauses, commenting, or working in suggestion mode.
  • Automatically transferring data to HR, CRM, or ERP systems—currently, exporting is done manually as a CSV file.
  • Entering data once for multiple documents belonging to the same person—each document must be filled out separately.
  • Initiating a process for multiple recipients with a single action—currently, each process must be initiated separately.
  • Full verification of identity or company status (KYC/KYB)—this is a separate process from the electronic, advanced, or qualified signatures that the form supports.

Legal departments will continue to draft the core content of contracts in their preferred editors. The role of Interactive Forms begins a step later: it involves quickly collecting data, filling in missing fields in a pre-drafted document template, and seamlessly proceeding to the signature stage.

Why is this distinction so important?

Understanding this distinction helps organizations better match tools to the type of process. It allows them to clearly distinguish between standard, high-volume operational documents (which should be automated using forms) and unique, complex contracts requiring weeks of negotiation in a word processor. As a result, companies stop handling all their documents in the same, often inefficient way.

The Next Step in Document Workflow Development

The introduction of interactive forms is part of Autenti’s consistent strategy: to create a platform that encompasses successive, naturally sequential stages of document processing. We’re expanding our ecosystem by bringing together data entry, e-signatures, and further document processing within the business workflow—all in one place.

  • For current users, this is an opportunity to move another time-consuming step from external programs directly into Autenti.
  • For new customers, it’s a promise of a seamless and simple workflow for recurring documents—without the need to artificially separate the data collection and signing stages.

Summary

Autenti eSign Forms bridge the missing link in a modern document process. They effectively close the operational gap between a raw, static template and a finished, legally binding, and signed document.
