What is a qualified electronic seal?

It is an electronic version of your company seal. It contains, among other things, the company name and the organization’s ID. It is a qualified trust service, provided in accordance with eIDAS, and respected in every Member State of the European Union. 

The electronic seal is a cloud-based solution, which ensures the integrity of the data and the authenticity of the origin of the sealed document.

Electronic seal and electronic signature - differences

A qualified e-seal should not be confused with an electronic signature. 

A qualified electronic seal is meant to ensure the integrity of company documents and the guarantee of their origin.

On the other hand, electronic signatures allow you to submit a declaration of will on your own behalf or on behalf of the entity being represented. 

The digital seal is used by entrepreneurs or entities that have been granted legal status by the relevant provisions, e.g. commercial companies, natural persons conducting sole proprietorship, non-governmental organizations or public administration.

How long is a qualified electronic seal issued for?

The validity of a qualified certificate for an electronic seal is 2 years.

What data does an electronic seal contain?

The electronic seal contains data of a legal entity such as: 

  • CN – the entity's common name (it does not have to be an official name); Organization identifier - most often this is a tax identification number (NIP), a registration number of the national economic register (KRS) or an ETSI-compliant regional identifier notified in the European Union countries.
  • International two-letter country abbreviation (for Poland it is PL);
  • Information about where the entity was registered; The official name of the subscriber (within the meaning of the Commercial Companies Code, e.g. the company or the name of the entrepreneur).

What are the necessary requirements to obtain a qualified e-seal?

In order to obtain a qualified electronic seal, you must: 

  • be an entity with legal status (e.g. a company, organization, public administration entity or local government unit).
  • fill out an application for a qualified e-seal by a person authorized to represent the company and sign with a qualified electronic signature.
