Traditional Registered Letter vs. Autenti eDelivery

Print the document, put it in an envelope. Go to a postal service point, fill out a form with your and the recipient’s details. Pay for the delivery. If you want to receive an SMS notification when it’s delivered, you must pay an extra fee.

The letter embarks on its journey. Depending on the destination, it takes one to several days. Unfortunately, delays happen.

The postal operator attempts delivery at the given address. If the recipient is available, the letter is delivered. Otherwise, it is marked for pickup. After several days, if unclaimed, it is returned to the sender.

What are e-Delivery?
Autenti eDelivery is the electronic equivalent of traditional registered mail with acknowledgment of receipt.

Is e-Delivery mandatory?
The Ministry of Digitization informs that the obligation to use e-deliveries for the first group of entities comes into effect on January 1, 2025, and includes:
1. Individuals performing public trust professions:
a) lawyer,
b) legal advisor,
c) tax advisor,
d) restructuring advisor,
e) patent attorney,
f) notary.
2. Non-public entities registering in the National Court Register (KRS in Polish).
3. Non-public entities submitting applications for registration in the Central Registration and Information on Business (CEIDG in Polish).
From April 1, 2025 , this obligation will also apply to all non-public entities registered in the KRS before January 1, 2025.
From July 1, 2025, the obligation will cover non-public entities registered in CEIDG by December 31, 2024, in case of changes made to their entry after June 30, 2025.
And from October 1, 2025, the obligation will apply to non-public entities registered in CEIDG by December 31, 2024.
How to start using Autenti eDelivery?
Starting to use the e-Delivery service from Autenti is quick and easy:
1. Register an account
Register your account by providing basic information. If you already have an account, proceed to log in.
2. Set up security
After logging in, go to the “e-Delivery” section in the user panel. On the “Activate the service” screen, click the “Secure” button. Then, add at least one additional authentication method such as SMS code, authentication app, or mobile app confirmation. Next, set up “Strong Authentication” in the “Sign in to Autenti” section.
3. Account confirmation
Next, proceed to step 2 of the e-Delivery screen, which is account verification. In the “Activate the service” section, click “Verify.” Confirm your personal data by entering the code from the SMS message. Then, confirm your identity by choosing one of the three available methods.
4. Create a mailbox, activate the service, and disclose the address for e-Delivery
In the “Activate the service” section, click “Create Mailbox.” Enter its name and click “Create.” Then proceed to create and disclose your BAE address (Electronic Address Database). In the “Registry (BAE) address” section, click “Generate.” Copy the address and click “Disclose BAE address”. Fill in the required information and click “Disclose.”
5. Use e-Delivery
Once the service is activated, you can send and receive e-deliveries fully compliant with legal requirements using Autenti’s intuitive panel.

What are the costs of e-Delivery?
The costs are much lower than sending traditional correspondence, i.e. registered letter! Choose the plan that best suits your needs and start using it today!
Is the e-Delivery service safe?
Yes. The Autenti e-Delivery service meets the requirements of both the eIDAS Regulation and the dedicated service standards, such as: ETSI 319 401, ETSI 319 521, and the public registered electronic delivery service standard. Autenti has implemented and follows best practices related to information security management, such as ISO 27001:2017 or ASVS.
Our data protection measures include organizational, physical, and technical safeguards, including the use of a hardware security module (HSM). Additionally, each transaction is confirmed with service delivery evidence, secured with an electronic seal and Autenti timestamp, ensuring their full integrity and evidential power. Are letters sent via e-Delivery effective and valid?
Yes. Correspondence sent via the Autenti eDelivery service is equivalent to traditional registered mail. Autenti generates legally binding evidence from the sending process, which can serve as evidence, for example, in court proceedings.
According to Article 43 (2) of the eIDAS Regulation, “Data sent and received using a qualified electronic registered delivery service benefit from the presumption of the integrity of the data, the sending of the data by the identified sender, and the receipt of the data by the identified addressee, as well as the accuracy of the date and time of sending and receiving indicated by the qualified electronic registered delivery service.”
Will e-Delivery replace ePUAP?
Yes. e-Delivery will take over the tasks of ePUAP and eventually replace correspondence sent through it. Its liquidation is planned for 2029.
What does it mean that Autenti e-Deliveries are a qualified service?
The Autenti e-Delivery service is a qualified trust service compliant with the eIDAS Regulation, listed on the trusted list maintained by the National Certification Centre, provided in accordance with the Trust Service Policy.
The service undergoes annual compliance audits by an independent certifying body, both with legal regulations and standards such as ETSI 319 521. Additionally, Autenti maintains an Information Security Management System compliant with ISO 27001:2017. More information is available on the "Security and Privacy" page.
As part of providing the e-Delivery service, Autenti uses the services of subcontractors necessary for its proper implementation and other qualified trust service providers:
- Microsoft Ireland Operations Ltd., which provides cloud solutions,
- Vercom S.A., which provides tools for sending electronic communication,
- Link Mobility Polska sp. z o.o., which provides SMS communication tools,
- Asseco Data Systems S.A., which provides the Autenti qualified timestamp.
What is the Electronic Address Database (BAE in Polish)?
The Database of Electronic Addresses (BAE) is a database with all addresses in the e-Delivery service. These addresses are assigned to users or entities that have submitted them to the system - each person or company has undergone identity verification during account creation.
BAE enables the effective and secure transmission of electronic documents, such as e-deliveries, within the e-delivery system, ensuring compliance with applicable legal regulations.
Who can see my data in the Electronic Address Database (BAE)?
Data in the Electronic Address Database (BAE) is accessible only to authorized entities that have the right to use the e-delivery system, such as public institutions, administrative bodies, courts, and other entities specified in the law.
Your data is protected according to the applicable data protection regulations, and access to it is strictly controlled. Your electronic address is used solely for delivery purposes, and access to it is not possible for unauthorized persons.
How to disclose an address in the BAE?
To disclose your address in the Electronic Address Database (BAE) through Autenti, follow these steps:
1. Log in to your Autenti account
Go to the Autenti website and log into your account.
2. Go to the “e-Delivery” section
After logging in, in the user panel, select the section related to e-Delivery services.
3. Start the process of disclosing your address in the BAE
Find the option “Disclose BAE address” – click to begin. If you don’t see this option, you probably haven’t generated a BAE address.
4. Fill in the required information
Fill in the additional information required to disclose your address in the BAE and click “Disclose.”
What are the limits of e-deliveries?
The current 'size' limit for a each of e-delivery is 250 MB including attachments. In the future, we plan to increase the limit to 500 MB.
In addition, we have a limit of 10,000 characters for the text message of an e-delivery.
