How BPS Leasing reduced contracting time and implemented remote identity verification (KYC)

About the client

BPS Leasing is a company belonging to the Bank Polskiej Spółdzielczości Group. It specializes in financing fixed and working capital assets for Polish entrepreneurs.

Challenge

Prior to digitization, most contracts at BPS Leasing were in paper form. Even when electronic form was used, it relied on an inefficient email workflow and required customers to have their own qualified signatures, which was a significant barrier to entry.

Major problems included:

  • Logistics and Costs: Salespeople were wasting time on multi-mile trips to customers just to collect signatures.
  • Complexity of the process: The process of signing one contract involved 3 to 5 people (2 BPS Leasing representatives + 1-3 people on the customer/supplier side).
  • Legal and technological barriers: Need for identity verification (AML/KYC) and lack of flexible tools for non-qualified signatures.

- With paper form, most time is wasted on arranging a meeting with the client or traveling sometimes many kilometers to the client. We were prompted to change our approach by the high costs, as well as the need to finalize contracts in a short period of time," points out Adam Zwolinski, Director of Development Department, BPS Leasing and Factoring.

Solution

BPS Leasing decided to work with Autenti, taking advantage of changes in the law (allowing documentary form in leasing). Key factors in the choice were data security (EEA), the provider's Polish capital and the lack of need for a long-term IT project to start.

Implemented solutions:

  1. eSign studio platform. BPS Leasing uses a wide range of qualified, advanced and ordinary e-signatures. For verified customers, email and SMS verification is sufficient, eliminating technological barriers.
  2. eID: A tool to support AML/CFT processes through video verification of customer identity or use of electronic banking.
  3. Hybrid Model: Ability to combine traditional collateral (paper promissory note during advisor visit) with instant electronic signing of the lease itself on the platform.
  4. One-Click Signing: A documentation merge feature, allowing the entire package of agreements to be signed with a single click.

Thanks to the document grouping function, BPS Leasing completed a spectacular transaction with a key customer:

  • Before: The need to manually sign hundreds of pages of documentation.
  • After: Being able to conclude approximately 100 lease agreements with a single signature, exemplifying the scale of a specific transaction.

2. simplifying Procedures (Customer Experience).

Loyal, verified customers can enter into agreements without setting up accounts or having paid signatures - authorization is done via SMS code and email. This has also significantly sped up the processing of addenda in after-sales service.

3. saving Time and Paper

Eliminated the need for physical printing and filing for much of the process, and reduced the number of purely administrative visits to the client, allowing advisors to focus on the relationship rather than bureaucracy.

4 Security and Compliance

Full compliance with legal requirements and AML standards is ensured by the Broker ID service and the Autenti archive. A key convenience is full integration with mCitizen, which BPS Leasing uses not only for the signature process, but also for identity verification in AML procedures.
