Bank Millennium signs HR documents in just a few minutes thanks to the Autenti platform

Bank Millennium, a leading financial institution in Poland, has implemented digital HR solutions to streamline personnel processes in response to the shift towards remote and hybrid working. The bank employs thousands of staff, and the effective management of employee documentation has become a new challenge.
The problem
The trigger for Bank Millennium's collaboration with Autenti was the need to adapt its HR processes to remote and hybrid work. This requirement accelerated the bank's decision to introduce digital HR document management, including electronic signatures.
The process of signing HR documents at the bank often involved travel and meetings, especially when it came to contract extensions or amendments. An additional logistical challenge was the need for contracts to be signed by directors, who typically have tight schedules and limited time resources.
The solution
Bank Millennium implemented the Autenti platform, which enables remote signing of documents. Thanks to this new solution, directors can meet with employees via Teams, at any time and from any location. The document is uploaded to the Autenti platform, the contract is concluded instantly and electronically on the same day, and the electronically signed original is immediately available.
“With the Autenti platform, employees can sign documents remotely. This primarily applies to HR documents – preliminary contracts, employment contracts, annexes, training agreements, fuel card contracts, and decisions regarding the social fund.”
The result
The new process has eliminated the need for printing, signing, scanning contracts, and long waiting times for originals.
“Signing documents now takes just a few minutes, which significantly shortens HR processes. It also optimises our involvement and minimises the risk that the recipient will not receive the document on time or at the specified address. Additionally, we save on courier costs, which were previously used to deliver documents. The environmental aspect is also noteworthy – there is no need to print paper documents, store them, or archive them,” says Monika Ruraż-Lipińska.
Document security has also been enhanced, thanks to validation and content integrity protection.
“Ensuring the authenticity and integrity of the document's content is a fundamental advantage of the new platform. Processing and signing take place in a strictly defined manner. Only authorised individuals have access to the documents. During the signing and delivery process, no one can alter the content, ensuring that the signed document is always identical to the original. Validation certification is provided through a detailed PDF report issued by Autenti, containing information on the verification of signatures and electronic seals, which can be downloaded after the process concludes,” adds Monika Ruraż-Lipińska.
