Significant acceleration of HR processes, improved efficiency, and greater work flexibility
About the client
Schibsted Tech Polska is a key technological innovation centre for Schibsted Media Group, specialising in developing high-quality software for the media, fintech, and marketplace platform sectors. Founded in 2012, the company has grown dynamically, currently employing over 300 IT specialists in its two main locations: Gdańsk and Kraków. Thanks to its commitment to innovation and continuous improvement of processes, Schibsted Tech Polska has become a leader in digitisation and efficient management of employee documentation, choosing to collaborate with the Autenti platform as a strategic step in its digital transformation.
Problem
Before introducing Autenti’s services, Schibsted Tech Polska faced the challenge of traditional, paper-based document circulation in HR processes. Each document had to be prepared, printed, and signed manually, which caused significant delays and was time-consuming and inefficient. As Justyna Horodecka, PA and Payroll Specialist, recalls, the company was accustomed to this method of work until the pandemic forced it to seek alternative solutions. The need to adapt to new conditions became a turning point, revealing the necessity for faster, more efficient, and secure employee documentation management.
Solution
To address the challenges associated with paper-based document circulation, Schibsted Tech Polska decided to implement the Autenti platform, which enables the use of both short-term and qualified electronic signatures:
- Efficient employee document management – The company began to efficiently manage documents such as contract amendments, employment certificates, and documents related to recruiting new employees.
- Quick, secure, and remote document signing – The Autenti platform allows for documents to be signed anytime, anywhere.
- HR operations improvement – Document digitisation eliminated backlogs, significantly increasing the company’s operational efficiency.
Results
The implementation of the Autenti platform has brought numerous positive outcomes for Schibsted Tech Polska:
- Significant time savings – Processes that previously took a long time are now completed much faster
- Work flexibility and convenience – Thanks to the ability to sign documents electronically, employees can do so at any time and from any location
- Improved operational efficiency – Document digitisation has reduced backlogs and streamlined the company’s operations
Justyna Horodecka, PA and Payroll Specialist – "Every document was prepared, printed, and signed manually. We were used to this method of work until the pandemic forced us to look for alternative solutions."
Future plans and summary
Schibsted Tech Polska plans to extend digitisation to additional HR processes. The company aims to move more processes into the digital sphere, striving to organise the majority of documents in electronic form. In the near future, particular attention will be given to the implementation of e-Deliveries, which will improve HR’s communication with external institutions, such as ZUS.
This has primarily allowed us to save time. A process that previously took a very long time now happens very quickly.
