TZMO reduces contract processing time by up to 90%, signing documents in 30 hours or less

TZMO Group is an international producer and supplier of medical, hygiene, and cosmetic products, employing nearly 9,000 people and operating across 56 companies in 18 countries. TZMO's products reach users in 80 countries across 6 continents, covering a third of the world’s population. The company's core values are innovation, responsibility, and experience, making the decision to implement e-signatures and achieve a “paper-free office” a natural step in its evolution.

 

Problem

Before implementing Autenti, TZMO’s document processes were time-consuming and complex. In traditional procedures:

  • Employees printed documents, gathered signatures, and sent them by courier, which extended processing times.
  • The average time to complete a paper document in Poland was around two weeks, and for international agreements, up to three months.

As Dr Paweł Ochrymiuk, Corporate Governance and Legal Manager, notes, “Our processes mirrored the typical procedures seen in companies and public institutions. Every step added to the time.”

 

Solution

TZMO chose to implement Autenti’s platform to streamline and automate its document flow, minimising the need for paper documents. Dr Ochrymiuk, who coordinated the implementation, explains, “Autenti has now become one of our key tools, forming the 'Big Three' alongside Google Workspace and our contract lifecycle management system.” Documents are signed digitally by middle and senior management.

The decision to partner with Autenti was driven by three main factors:

  • Autenti’s Polish ownership
  • Competitive pricing
  • The ability to fully embrace electronic signatures and digitalisation.

Results

The implementation of Autenti’s platform significantly reduced the time required for document signing:

  • The average time to complete a document dropped from two weeks (for local contracts) or 2-3 months (for international contracts) to around 30 hours.
  • Many documents are finalised within just a few hours, even with international partners.

Across the group, thousands of documents are processed each month, highlighting the scale of improvements brought about by digitalisation.

With Autenti, TZMO’s document workflow has been simplified and automated, eliminating time-consuming manual steps. Dr Ochrymiuk explains, “Now, all it takes is for an employee to enter the partner’s data, and the rest is automatic.”

 

Future plans

TZMO Group plans to continue expanding its partnership with Autenti, aiming to further shorten contract signing times and increase platform recognition in international markets.

“Our goal is for Autenti to be globally recognisable, so our partners in places like the USA or Morocco can understand how it works immediately,” says Dr Ochrymiuk.

As part of its broader digitalisation efforts, the TZMO team is also interested in exploring e-Delivery, a requirement for many organisations by 2025, which Autenti offers as part of its eDelivery solution.

Automation has freed up time for essential activities like sales, rather than handling paper documentation, which involved printing, dispatching, scanning, receiving, and incurring logistics costs for courier and postal services.
