About the Client

Diety od Brokuła is an absolute giant on the Polish diet catering market, ranking among the “big four” in its industry. The company stands out because it handles the entire production and delivery process in-house, without any subcontractors.

The scale of operations in numbers:

  • 30,000 regular customers.
  • 300,000 meals produced and delivered every day.
  • 1,450 employees throughout Poland.
  • 30% employee turnover (typical for logistics and production processes).
  • 24/7 – production facilities operate around the clock (with the exception of a short holiday break).

The company is committed to the highest quality (excluding palm oil and monosodium glutamate), which requires tremendous operational precision and a reliable team.

The Challenge

The company’s dynamic growth (a jump from 400 to 1,450 employees in a short period) exposed the weaknesses of traditional document management. The paper-based contract workflow became inefficient and began to pose a real risk to the company’s operational continuity.

  • Geographical dispersion and a logistical nightmare: While production is centralized in the Tri-City area, the drivers and warehouse workers critical to deliveries are scattered throughout Poland. Collecting signatures required regional managers to make personal trips to transshipment points.

  • Weeks of waiting for contracts to be finalized: Lost attachments, missing pages in printouts, or overlooked signatures meant that the physical circulation of documents took anywhere from a few days to as long as 2–3 weeks.

  • Losing candidates: In a highly competitive job market, manual laborers and drivers want to start work immediately. Having to wait for “red tape” carried the risk of a candidate going to a competitor, which in turn could disrupt deliveries to 30,000 customers.

  • Decision-making bottleneck at the executive level: Massive rate updates (e.g., at the beginning of the year) required management and the board to manually sign several thousand documents and addenda.

Solution

The company’s management realized that fully digitizing the HR process was essential to maintaining the pace of growth. An experienced partner— Nexpertis— was selected for this task . The company implemented end-to-end optimization using the WEBCON platform (Low-Code BPM) and Autenti’s electronic signature solution .

What does the new, automated process look like?

  1. Instant Start (Mobile-First): A remote job candidate receives a form and signs consent to the processing of personal data via the Autenti platform.

  2. Smart contract generation: After collecting the data, the WEBCON system—using built-in business logic—automatically “assembles” the appropriate contract from pre-built modules and templates.

  3. Digital approval: The document is sent for internal review and verification.

  4. Remote e-signature and archiving: The final contract is sent via Autenti to the employee for signature, and management signs it digitally. The completed document automatically returns to the WEBCON system and is added to the employee’s e-file.

Results

The synergy between WEBCON and Autenti solutions, implemented by Nexpertis, has delivered spectacular, measurable business results for Diety od Brokuła, eliminating “bottlenecks” and preparing the company for further, stress-free growth.

  • Speed and instant onboarding: Contract processing time has been reduced from 2–3 weeks to just a few minutes. An employee can begin providing services almost immediately after approval by a manager.

  • Time saved for management: The CFO and members of the executive board can now sign batches of documents (e.g., 50–100 contracts) with just one click, saving many hours that would otherwise be spent manually initialing pages.

  • Elimination of errors (Zero Waste HR): The system ensures the completeness of documents and signatures, completely eliminating human errors (e.g., a missing printed page) as well as the fuel and courier costs previously incurred to transport document folders across the country.

  • Infinite scalability: The automated process has made the company’s structure resilient to growth. Even if the workforce jumps to 2,000 employees, handling this volume of documents will not require additional staff in the HR department.
"With over 1,000, then 1,200, and 1,400 employees, even something as simple as the salary adjustment in January meant I had several thousand documents to sign. Now I can do it automatically. I basically sign them with a single click."
