Problem
The CFE Polska team struggled with a labor-intensive and time-consuming contract signing process. Previously, every document had to be signed manually, which involved sending emails and monitoring whether all necessary signatures had been collected. This process generated time costs and the risk of misunderstandings due to missing appropriate signatures.
The implementation of the Autenti platform aimed to fully digitize the contract signing process. However, it turned out that different companies use different types of qualified signatures, which were not always compatible with the Autenti solution. The problem arose when CFE Polska's partners used qualified signatures on physical media, which prevented the complete execution of the signing process on the platform.
"Each of our signatories had to perform several additional steps, send an additional email, and the people managing the contract had to ensure that the right document was definitely signed. The cost was mainly time and potential misunderstandings that could arise from this" - says Izabela Popławska, Contract Specialist at CFE Polska.
Solution
To solve this problem, CFE Polska began using the any qualified signature feature. Thanks to this function, the company can handle different types of electronic signatures, regardless of whether they are stored in the cloud or on physical media.
"Signing with any signature helped us a lot, because we could finally conduct every contract from start to finish through the platform. Everything is now in one place, our contract approval and signing procedure is preserved, and the application can be used" - emphasizes Izabela Popławska.
Results
Thanks to implementing the any qualified signature feature, CFE Polska saved time and reduced the risk of errors and misunderstandings related to the contract signing process. The entire process became more transparent and efficient, which significantly impacted the quality of document management.
"This also saves us discussions about whether and in what form we sign with contractors, because now we can say that there's no longer an excuse not to sign on our platform. It accepts every form, every certificate" - notes Izabela Popławska.
Future plans and summary
CFE Polska plans to continue using the Autenti platform, seeing great potential in it for further automation and improvement of document management processes. The company recognizes the benefits of digitization and is interested in further developing the cooperation.
