Tomma Diagnostyka Obrazowa S.A. is a rapidly growing network of diagnostic centers and one of the leaders in the medical industry in Poland. The company consistently focuses on modern technologies and the optimization of operational processes in healthcare. The scope of its operations includes:

• Over 40 state-of-the-art facilities located throughout Poland.
• A broad portfolio of radiology services, including magnetic resonance imaging (MRI), computed tomography (CT), X-ray, and innovative teleradiology solutions.
• Comprehensive services for both individual patients and external medical facilities in the domestic market.
  

The Challenge

The organization’s dynamic growth and continuous expansion of its structures highlighted the limitations of a traditional approach to human resources management. The organization faced operational challenges that required immediate technological intervention:

• Bottlenecks in a decentralized structure: With over 40 locations, the circulation of paper documents between clinics and headquarters was operationally inefficient and caused significant delays.
  
  
• Costs and time consumption: Printing and physically mailing or shipping thousands of contracts via courier not only drained the budget but, above all, consumed the administrative team’s valuable time.
  
  
• Barrier to scaling: Manual document circulation and the risk of delayed delivery hindered the company’s ability to grow smoothly, requiring a constant increase in staff resources just to handle the “paperwork.”

Solution

The solution to the needs of HR and administration was the implementation of the Autenti platform with the support of a dedicated account manager. However, the integration of electronic signatures into the existing IT architecture proved to be a true technological and operational breakthrough.

A document prepared in Comarch Optima is automatically sent to Autenti, and after signing, it immediately returns and is saved in the appropriate folder—without the need for manual file export and import.
  
  
• Automation of recurring processes: Building mechanisms that, for example, automatically initiate the sending of annual declarations on a specific date and process the return of signed files without any intervention from an HR employee.
